Terms and Conditions
Effective Date: 1st October 2025
Welcome to Gracie Barra Twickenham! Please carefully read and understand the following terms and conditions that govern your participation at our academy. By enrolling and attending our classes, you agree to comply with these terms and conditions.

1. Membership and Enrolment
1.1 This Membership Terms & Conditions is made and entered into between Gracie Barra Twickenham ("GB Twickenham"), having its registered address at 96 London Rd, Twickenham Station, TW1 1BD, Twickenham, London, UK, and the undersigned member ("Member") for the provision of membership services.

1.2 GB Twickenham offers the following memberships:

Adults (18 years and older)
Adults Off-Peak (18 years and older)
Kids - Jr & Teens (10 to 17 years old)
Kids - Little Champions 2 (7 to 9 years old)
Kids - Little Champions 1 (5 to 6 years old)
Kids - Tiny Champions (3 to 4 years old)
Women’s Only (18 years and older)
1.3 The term of these Terms & Conditions will commence on the date of enrolment and shall correspond to the length of the chosen contract:

12 months
6 months
3 months
Roll On (monthly)
1.4 Unless otherwise noted, this membership is non-transferable.

1.5 Your payment details will be securely stored in our system for the duration of the membership.

1.6 The Member must be at least 18 years old or have the written consent of a parent or legal guardian.

1.7 Enrolment requires completing our registration process, which includes providing accurate personal information.

1.8 Membership fees and the benefits of being a member will also be outlined separately in the Membership Specifications.

2. Joining Fee
2.1 All Members are required to pay the Joining Fee before applying for any membership at GB Twickenham, except for those who choose a 12-month contract.

2.2 The Joining Fee serves as a one-off, upfront registration fee and must be paid in full upon initiating membership.

2.3 The Joining Fee is not refundable.

2.4 The Joining Fee includes a top-notch Gracie Barra uniform, comprising a Gi and a Belt.

2.5 This uniform is essential for participation in GB Twickenham classes and is provided as part of the Joining Fee.

2.6 The Joining Fee ensures that the Member is equipped with the necessary attire for training in Brazilian Jiu-Jitsu.

2.7 It also contributes to administrative costs associated with enrolling new members and maintaining the facilities.

2.8 By agreeing to these Terms & Conditions, the Member acknowledges and accepts the requirement to pay the Joining Fee.

3. Membership Fee
3.1 By becoming a Member, the Member acknowledges and accepts the commitment to make monthly payments for the duration of the chosen membership, unless your membership is frozen or cancelled without liability.

3.2 Members are responsible for paying all membership fees promptly according to the agreed-upon schedule.

3.3 For the avoidance of doubt, you are required to make each monthly payment irrespective of attendance, regardless of the reason for absence, except during a membership freeze as outlined in Section 12 below. The lack of attendance to the School’s premises is NOT a subject for a refund.

3.4 You can access our facilities and services only if your membership is up to date with all payments made or if you have arranged acceptable payment terms with GB Twickenham.

3.5 The Membership Fee does not include the Joining Fee, which must be paid separately.

3.6 The initial payment shall be collected on the date agreed by the parties.

3.7 Membership fees are subject to change with prior notice from GB Twickenham.

3.8 Membership subscriptions include VAT at the current rate. We retain the right to adjust your contracted rate to account for any changes in VAT during your membership period.

4. Training Conduct and Safety
4.1 The Member must abide by the rules, regulations, and etiquette of GB Twickenham.

4.2 Respect for instructors, staff, and fellow students is mandatory. Any form of harassment, discrimination, or violence will not be tolerated.

4.3 Participants are responsible for their personal safety during training. They must inform instructors of any pre-existing medical conditions or injuries.

4.4 Instructors reserve the right to remove any participant from training if their behaviour poses a threat to themselves or others.

5. Liability and Waiver
5.1 The Member acknowledges that participation in Brazilian Jiu-Jitsu and other related activities involves inherent risks, including but not limited to the risk of injury. By enrolling, the Member agrees to assume full responsibility for any injuries or damages that may occur during the training sessions or while on the premises of GB Twickenham.

5.2 GB Twickenham, its instructors, and staff shall not be held liable for any injuries, accidents, or damages that may occur during the training sessions or while on the premises of GB Twickenham.

5.3 Participants are responsible for obtaining adequate medical insurance coverage to cover any potential injuries.

6. Class Schedules and Cancellations
6.1 GB Twickenham will provide a schedule of classes, which may be subject to change. Participants will be notified of any changes in advance whenever possible.

6.2 In the event of unforeseen circumstances, such as instructor illness or facility closures, classes may be cancelled or rescheduled. Participants will be notified via email or other preferred means of communication.

7. Payment
7.1 The Member agrees to make monthly payments for the membership throughout the chosen membership period, unless the membership is frozen or cancelled without liability.

7.2 The only payment methods accepted are Credit Card, Debit Card and Direct Debit.

7.3 The Member shall ensure that the chosen payment method is valid and has sufficient funds to cover the membership fees.

7.4 If the Member does not pay any amount due for more than thirty days, we reserve the right to transfer the debt to a third-party collection agency. Any costs incurred in engaging the services of the third-party collection agency, including costs associated with locating you in the event of a change of address without prior notification, will be your responsibility.

7.5 If any payment due from the Member remains unpaid for over three months, it will be considered a breach of your obligations under this agreement, and we may choose to terminate the membership. Additionally, the Member’s details may be shared with other Gracie Barra schools as a warning.

8. Reimbursement Policy
8.1 Refunds or reimbursements are subject to approval and may be granted at the discretion of GB Twickenham.

8.2 Refunds are not provided for Joining Fees or any other administrative charges.

8.3 Reimbursement will be issued only in exceptional circumstances, at the discretion of GB Twickenham management.

8.4 The detailed procedures for reimbursement can be found in the Reimbursement Policy document on the GB Twickenham website, which is an integral part of these Terms & Conditions.

9. Automatic Renewal
9.1 Unless cancelled by either party with proper notice as stated in Section 13 (Cancellations), these Terms & Conditions will automatically renew at the end of the initial term for the same amount of time as the initial term. GB Twickenham reserves the right to adjust the membership fees upon renewal, providing the Member with prior written notice of any changes.

9.2 For 12-month contracts, the member will be under a monthly fixed price and conditions as agreed by these Terms and Conditions. After the initial 12-months, membership will renew automatically month-by-month, but cancellation notice periods or fees will no longer be needed. The member may cancel anytime after his initial 12-month period has concluded.

9.3 Students under the 6-month contract or 3-month contract will not be renewed automatically. Once the contract is over, the student may inform the school if they wish to begin a new contract.

9.4 If a student wishes to not renew a 12-month contract, they need to email management@gbtwickenham.co.uk at least 48 hours before the expiration of their contract.

10. Intellectual Property
All materials, including but not limited to instructional videos, logos, and branding, provided by GB Twickenham are protected by intellectual property rights. Participants may not reproduce, distribute, or share such materials without written consent.

11. Personal Belongings
Participants are responsible for their personal belongings during training sessions. GB Twickenham will not be held liable for any loss, theft, or damage to personal property.

12. Freezing Policy
12.1 The Member may request to freeze their membership if:

There is a medical condition or injury that prevents the Member from further participation in classes and training (doctor’s note required).
The Member discovers they are pregnant.
12.2 While the Member’s membership is frozen, the Member will be relieved of their obligation to pay their monthly membership fees, and GB Twickenham will be relieved of their obligation to allow the Member to use the facilities at the school.

12.3 GB Twickenham reserves the right to freeze memberships only for medical reasons and will not pause memberships for travel reasons.

12.4 Further freezing policies and procedures are detailed in the Freezing Policy document on the Gracie Barra Twickenham website, constituting an integral component of these Terms & Conditions.

13. Cancellations
13.1 GB Twickenham reserves the right to terminate a participant's membership or refuse entry to anyone violating these terms and conditions or engaging in any misconduct.

13.2 The Member may cancel their membership by providing GB Twickenham with written notice prior to the desired cancellation date. A minimum notice period of 2 months is required for a 12-month contract, and a minimum notice period of 1 month is required for a 6-month contract. Failure to provide the required notice may result in the Member being responsible for payment of the subsequent month's membership fees.

13.3 Once the initial period of 12-month contracts is over, the member may cancel their 12-month membership anytime.

13.4 There is no cancellation option for Members who opt for a 3-month contract. If the Member opts for the Roll On contract, they can cancel anytime.

13.5 Early cancellation fees apply as follows:

12-Month Contract: A fee equivalent to 2 months of membership will be charged in case of early cancellation.
6-Month Contract: A fee equivalent to 1 month of membership will be charged in case of early cancellation.
13.6 Members who have frozen their membership are not eligible to request cancellations until their membership is reactivated. Once the membership is active again, the Member must follow the procedures outlined in clause 13.2 and the Cancellation Policy document.

13.7 The cancellation process will only commence once all outstanding debts are settled.

13.8 We will cancel your membership without any further obligation on your part (no early cancellation fee) if you are not reasonably able to access our school in the following circumstances:

You have been advised not to use our school for the foreseeable future for a medical reason (doctor’s note required).
You have lost your job or the location of your main place of work has changed, resulting in a commute of more than 1.5 hours from the school (a letter from your employer, with their contact information, must be provided as proof).
13.9 Additional information concerning cancellation policies can be accessed in the Cancellation Policy document on the Gracie Barra Twickenham website, forming an integral component of these Terms & Conditions.

14. Cooling-Off Period
New members are entitled to a 14-day cooling-off period from the membership start date. During this period, members may cancel their membership without incurring additional charges.

Cancellation Procedure: To cancel within the cooling-off period, members must submit a written cancellation request to management@gbtwickenham.co.uk.

Refund Conditions:

If no classes or services have been attended, the member will receive a full refund.
If any classes or services have been attended during the cooling-off period, the membership fee will be refunded minus the cost of any attended sessions, calculated at the academy’s drop-in rate.
Uniform Condition for Refund: If a uniform has been issued as part of the membership, the uniform must be returned in its original, unused condition. No refund will be provided if the uniform has been used in a class or elsewhere, shows signs of wear, damage, dirt, stains, or odour, or if it has been washed, altered, or otherwise used in a way that prevents its return in original condition.

Membership cancellation will still be processed upon request if the uniform is not eligible for a refund.

Post Cooling-Off Period: After the 14-day cooling-off period, the standard cancellation and refund policy applies as outlined in Section 13.

15. Governing Law and Jurisdiction
This Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with this Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.

16. Privacy Notice
I consent and acknowledge that GB Twickenham may collect, process, store, and/or utilize the personal data I provide for the purpose of delivering the services outlined in my membership agreement. As the data controller, GB Twickenham may utilize this information in accordance with the privacy policy available at www.gbtwickenham.co.uk. GB Twickenham assures that appropriate measures are in position to safeguard my rights and freedoms concerning the processing of my data.

17. Authorization for Use of Image and Voice
By signing this Terms & Conditions, the Member (or parent/guardian if under 18) grants Gracie Barra Twickenham the right to capture, use, and publish the Member's image, likeness, and voice in photographs, videos, and audio recordings taken during classes and events for promotional, advertising, and educational purposes. This includes posting on social media, the website, newsletters, and printed materials. The Member agrees to no compensation for these uses and releases the School from any liability related to the use of these images and recordings. This authorization remains in effect indefinitely unless revoked in writing.

18. Modifications to Terms and Conditions
These Terms & Conditions may be modified or updated from time to time. Participants will be notified of any changes in effect, and the updated terms will be available on our website.

By enrolling in GB Twickenham, the Member acknowledges that they have read, understood, and agree to abide by these Terms & Conditions. All detailed policies and procedures referenced herein can be found in their respective documents on the Gracie Barra Twickenham website (www.gbtwickenham.co.uk). Failure to comply with these terms may result in termination of membership without refund.
