Membership Terms & Conditions

Effective Date: 1st February 2026

These Membership Terms & Conditions (“Terms”) govern all memberships offered by Gracie Barra Twickenham (“GB Twickenham”, “we”, “us”, “our”).
By enrolling in any membership and attending classes at GB Twickenham, the Member (or parent/legal guardian where applicable) confirms that they have read, understood, and agreed to be bound by these Terms.

1. Parties and Definitions
1.1 Gracie Barra Twickenham
GB Twickenham operates from 96 London Rd, Twickenham Station, TW1 1BD, Twickenham, London, United Kingdom.

1.2 Member
“Member” refers to the individual enrolled in a membership, or, where the Member is under 18 years of age, their parent or legal guardian.

2. Membership Eligibility and Enrolment
2.1 Memberships are personal and non-transferable.

2.2 Members must meet the age requirements applicable to their selected membership category.

2.3 Members under the age of 18 must enrol through a parent or legal guardian, who shall be bound by these Terms on their behalf.

2.4 GB Twickenham reserves the right to request proof of age and to refuse or terminate membership where eligibility requirements are not met.

2.5 Enrolment requires completion of the registration process and the provision of accurate and up-to-date personal information.

3. Membership Categories
3.1 GB Twickenham offers the following membership categories:
Adults – Normal
Adults – Off-Peak
Women’s Only
Tiny Champions (ages 3–4)
Little Champions 1 (ages 5–6)
Little Champions 2 (ages 7–9)
Juniors & Teens (ages 10–17)

3.2 Adults – Off-Peak Memberships permit attendance only during designated off-peak hours, as published by GB Twickenham from time to time.

3.3 Access rights, class schedules, and any applicable restrictions are defined in the Membership Specifications, which form an integral part of these Terms.

4. Contract Duration
4.1 Memberships may be entered into under one of the following options:
12-month contract
6-month contract
3-month contract
Roll On (monthly)

4.2 The contract term begins on the date of enrolment.

4.3 Fixed-term contracts are binding for their full duration unless terminated in accordance with these Terms.

5. Joining Fee
5.1 A Joining Fee is payable by all Members unless otherwise stated, including promotional offers.

5.2 The Joining Fee is a one-off, upfront payment and is non-refundable.

5.3 Where applicable, the Joining Fee includes an official Gracie Barra uniform (Gi and Belt).

5.4 Wearing the official Gracie Barra uniform is mandatory for participation in classes.

6. Membership Fees
6.1 Membership fees are payable monthly for the duration of the selected contract.

6.2 Membership fees are payable regardless of attendance, except during an approved membership freeze under Section 12.

6.3 Absence due to holidays, illness, or personal reasons does not entitle the Member to refunds or credits.

6.4 Access to classes is conditional upon the Member being fully up to date with all payments.

6.5 Membership fees include VAT at the prevailing rate.

7. Payment Method
7.1 Accepted payment methods are:
Credit Card
Debit Card

7.2 Direct Debit is not accepted.

7.3 The Member is responsible for ensuring that valid payment details are maintained and that sufficient funds are available.

7.4 Members who paid by Direct Debit up until January 31st may continue to do so until the expiration of their current membership.

8. Late Payments
8.1 If any membership payment remains unpaid for more than five (5) days after the due date, a late payment administration fee of £10 (ten pounds) will be added to the outstanding balance.

8.2 Late payment fees do not waive the obligation to pay outstanding membership fees in full.

8.3 GB Twickenham reserves the right to suspend the Member’s access to classes until all outstanding amounts, including late payment fees, have been settled.

8.4 Repeated late payments may constitute a breach of these Terms and may lead to cancellation under Section 13.

9. Training Conduct and Safety
9.1 Members must follow all academy rules, safety guidelines, and instructor directions.

9.2 Respectful behaviour towards instructors, staff, and fellow Members is mandatory.

9.3 Harassment, discrimination, violence, or unsafe conduct will not be tolerated and may result in immediate termination of membership.

9.4 Members must disclose any medical condition or injury that may affect safe participation.

9.5 Instructors may exclude a Member from training where participation poses a risk to themselves or others.

10. Assumption of Risk and Liability
10.1 Brazilian Jiu-Jitsu is a contact sport involving inherent risks.

10.2 Members participate at their own risk and assume responsibility for injuries sustained, except where liability cannot be excluded by law.

10.3 Members are responsible for maintaining appropriate medical and personal insurance.

11. Class Schedule and Cancellations
11.1 Class schedules are subject to change.

11.2 Classes may be cancelled or rescheduled due to instructor availability, maintenance, or unforeseen circumstances.

11.3 Reasonable notice of changes will be provided where possible.

12. Freezing Policy
12.1 Memberships may be frozen only in the following circumstances:

Medical injury or illness that prevents participation in classes (a valid doctor’s note may be required);
Pregnancy.

12.2 Memberships may not be frozen for holidays, travel, work commitments, or personal reasons.

12.3 During an approved freeze period, the Member’s obligation to pay membership fees is suspended, and access to classes is paused for the duration of the freeze.

12.4 Any request to freeze a membership must be submitted in writing by email to management@gbtwickenham.co.uk, using the subject line:
[MEMBER NAME] – FREEZE REQUEST

12.5 Freeze requests will only be considered effective once confirmed in writing by GB Twickenham.

GB Twickenham reserves the right to request supporting documentation where applicable.

13. Cancellations
13.1 GB Twickenham reserves the right to terminate a membership in the event of breach of these Terms, misconduct, or repeated non-compliance with payment obligations.

13.2 Any Member wishing to cancel their membership must submit a written cancellation request by email to management@gbtwickenham.co.uk, using the subject line:
[MEMBER NAME] – CANCEL NOTICE

13.3 Cancellation notice periods are as follows:
12-month contract: minimum of 2 months’ written notice
6-month contract: minimum of 1 month’s written notice
3-month contract: no early cancellation permitted
Roll On (monthly) membership: cancellable at any time with written notice

13.4 Where applicable, early cancellation fees shall apply as follows:
12-month contract: a fee equivalent to 2 months’ membership fees
6-month contract: a fee equivalent to 1 month’s membership fee

13.5 Cancellation requests will only be deemed effective once:
- the correct notice period has been observed; and
- all outstanding fees, charges, and late payment amounts (if any) have been settled in full.

13.6 Where a cancellation is permitted without penalty under Section 15 (Price Adjustments), the Member must still submit written notice in accordance with this Section.

14. Cooling-Off Period
14.1 New Members are entitled to a 14-day cooling-off period from the start date.

14.2 Cancellation within this period must be submitted in writing to management@gbtwickenham.co.uk with the subject line:
[MEMBER NAME] – COOL OFF CANCELLATION

14.3 Refunds during the cooling-off period are subject to attendance and uniform condition.

15. Price Adjustments
15.1 GB Twickenham reserves the right to review and adjust membership prices where reasonably necessary due to operational, economic, or business considerations.

15.2 Any price adjustment will be communicated in advance by email, stating the revised price and effective date.

15.3 Revised pricing shall apply as follows:
(a) New Members
Memberships entered into on or after 1st February 2025 shall be subject to the revised pricing.

(b) Existing Members
For Members enrolled prior to 1st February 2025, including those under an active fixed-term contract, revised pricing shall take effect from 1st of May 2025, following prior notice.

15.4 Where a price adjustment applies during an active fixed-term contract, the Member may cancel the membership without penalty by providing written notice before the effective date if they do not agree to the revised pricing.

15.5 Continued attendance or payment after the effective date constitutes acceptance of the revised pricing.

15.6 Price adjustments shall not apply retrospectively.

16. Intellectual Property
All branding, logos, instructional materials, videos, and content remain the intellectual property of GB Twickenham and may not be reproduced without written consent.

17. Personal Belongings
Members are responsible for their personal belongings.
GB Twickenham accepts no liability for loss, theft, or damage.

18. Data Protection and Privacy
GB Twickenham processes personal data in accordance with UK GDPR and its Privacy Policy available at www.gbtwickenham.co.uk.

19. Image and Voice Consent
Members (or parents/legal guardians) grant GB Twickenham permission to use images, video, and audio recordings for promotional and educational purposes without compensation, unless revoked in writing.

20. Amendments
20.1 GB Twickenham may amend these Terms from time to time.

20.2 Updated Terms will be published and shall apply from the stated effective date.

21. Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales.
The courts of England and Wales shall have exclusive jurisdiction.
